BOARD MEETING 6/13/07

Attendance: Jony Nguyen, Tuyen Trinh, Dan Huynh, Jesse Lund, Timmy Nguyen, My-Le Dao, Chi Nguyen, Sopheak Pho, Wendy Le, Bonnie Nguyen, Jake Vu, Helen Tran, Tommy Choi, Huy Nguyen

1. Summer Retreat
a. Free times were good enough.
b. Bonding times were good.
c. It was fun!

 

2. Journey from the Fall
a. It was good but long.
b. A good turn-out with board members & general members.
c. Getting film to Coffman.
i. Jake to take the process of getting this coordinated.
ii. Open house, paint the lantern, and get the movie out at around this time, when school starts. Should have at least at 2 weeks apart with each event.

a. Changes for the retreat
i. Have it cheaper.
ii. Location

5. Metrodome Volunteering
a. Volunteering on June 16 th & 17 th.
i. Meeting at the bus stop to leave together.
ii. If we can get 7 people then we can get our own stand. We need to have at least 4 more people to sign up.

b. VCM Summer Festival (July 7 th 10:00 AM -8:00 PM)
i. Sign up sheets for set up and clean up.
ii. Sign up sheets for booth.

c. Dragon boat Festival
i. We still have spots opening for the boat race.
ii. Need to sign up ASAP to get in T shirt size orders.
iii. My-Le has sent in the T-shirt design to get State Farm’s approval.

d. Catalyst Culture Camp
i. Same week as Dragon boat festival.

e. UNAVSA conference New Orleans
i. Doesn’t seem like a lot of people are going.
ii. There is no official VSAM group going together.

f. Wisconsin Dells Trip – UVSA Midwest
i. UVSA is having their camping trip so we are stopping by Dells for Labor Day weekend.
ii. To be looked into it more because the location haven’t been finalized as of yet.

 

g. Paintball-August 18 th or September 22nd.
i. Need to reserve a field -- $30/person, everything included.
ii. Get a list of people to attend.
iii. Indoors (Minneapolis), outdoors (Rogers).

 

6. VSAM events to plan
a. VSAM picnic
i. Having a potluck barbeque opened to everyone.
1. VSAM will provide the meat.
ii. Play games
iii. July 21st starting at 4:00 PM at Minnehaha Park.
iv. Helen to give a finalize proposal.

b. Valley Fair
i. August 20th – August 24th
ii. It will be affiliates type of trip.
iii. Tickets are discounted, $22 instead of $35, can also use coupons with this price.
iv. They have to have a reservation at least a week in advance. We can have prepaid tickets and pay at the door.
v. Trying to rent out the picnic area to have a giant picnic if possible.
vi. Maybe try to have a scavenger hunt.

c. Trung-Thu
i. September 25th is Trung Thu, the Great Hall is opened on September 22nd.
ii. Have shows and different booths on that day.
iii. Proposing Ideas-dragon dance, performances, 4 singing, 3 dances, in between we have a video of introductions. We can have MC to come in and talk about performances and about shows. Entire performances might be 2 hours long. Possibly ask for donations for food. Expectants of maybe 300 people. Could also have crafts.
1. Performance dances-stories and skits. Having traditional Vietnamese dances.

d. Tet
i. Looking for coordinators.
ii. Theme-Generational theme???
iii. Start thinking of themes for this year’s Tet.

 

7. Senior Board Members – Compliance Officer
a. Mister Sopheak Pho is going to be Compliance Officer of Senior Board Member.

8. Tuyen will mail a list of board contacts for everyone.

 

BOARD MEETING 5/20/07

Attendance: Chi Nguyen, My Le, Tuyen Trinh, Bonnie Nguyen, Huy Nguyen, Wendy Le, Tommy Choi, Timmy Nguyen, Jessed Lund, Dan Huynh, Sopheak Pho, Lan Lyly, Dung Pham, Andy Nguyen, Long Nguyen, Jake Mai, Florence Tran, Helen Tran, Lam Tu

1. Period of board transitions
a. Month of May and summer is the transition period, new board starts June and last through September next year.
b. This is the only meeting for this month.
c. Give your schedules to Tuyen as soon as possible so we can decide when board meetings should be. For summer and fall schedules.

2. constitution
a. Find constitution on the website and familiarize yourself with it before the retreat.
b. Ask questions and add comments at the retreat.
c. Know what roles you have with what positions you hold from the constitution. Each board member should know rules, expectations, and responsibilities.
d. From board:
i. Everyone should be able to communicate to each other.
ii. Send out contacts of everyone soon.

3. summer project
a. With transition period, everyone should create a folder to let you know what you’re expected in your roles. A list of resources that you go to for help, what you’re expected in your role, for your own personal development, the person from the past should write down what you think you had done and what you could avoid. Also put down your role for the year and or what you want to do for the year.
b. It’s kind of like a mentor/mentee project to help each new and old members pick up and learn from the experiences.

4. upcoming events
a. In a week, Chi Phuong Dao wants us to do one dance for them at Dunwoody from 12-12:30, Tuesday May 29th.
i. Concensus-NO we don’t want to do it.

5. Summer Retreat
a. Get money ASAP.
b. My-Le will be on campus at the TCF bank so anyone can drop it off of with a title on the envelope. Contact Bonnie or Chi as well.
c. New/Old board come to the retreat Thursday after 4PM.
d. CAN ALSO MAIL IT TO BONNIE, ADDRESS WILL BE ON “NAG EMAIL” that they will send to everyone.
e. Everyone else will be coming on Friday after 12. Everyone has to be there on Friday because we will be writing the constitution.
f. Everyone should pay in advance as soon as possible!!!
g. The money is due by NEXT SUNDAY May 27th, 2007!!!
h. Anyone that has a TUG OF WAR rope let Activities Coordinator.
i. Anyone that has a small Karaoke Machine – please let them know.

6. Journey to the Fall
a. Coming Lagoon Cinema June -1st – 7th .
b. Tell Mai Ly to make event on our website.
c. Make Facebook event to invite people to go.

7. summer events
a. Metrodome
i. We sign up for volunteering at the metrodome from the list of dates.
ii. Join a facebook group to get more info if there are any questions.

8. Dragon boat festival
a. They need rowers as a team, there are about 20 people to row at a time. Two days event. State farm will let us have a booth as well and we need one person to man the booth a time. It’s a Saturday Sunday in July 14th and 15th. They will teach us on Saturday to row.
b. The festival will have exhibits and booth of different cultures. State Farms are paying for the t-shirt as well as to race in the events.
c. It’s a volunteer opportunity.
d. A good way to get VSAM name out as we get a booth there as well as to recruit members.
e. There is a possible sponsorship from State farm.
f. Same weekend as culture camp

9. Valleyfair
a. Making this a big group with ASU
b. This will give us a bigger group for a discount.

10. Helen-Do a barbeque by a lake for members sometimes in July just for fun.
a. In July

11. UNAVSA Culture Camp
a. A large umbrella group of VSAM.
b. New Orleans
c. Community Service-helping out with Katrina cleanups. Meet more Vietnamese and Network.
d. Spending an average of $500 because of Plane tickets.
e. July 26th-July 29th

12. Culture Camp
a. Play with little kids for 4 days, free housing and free food.
b. Catalyst Foundation.org to find more information
c. Contact Hanna Nguyen.
d. New members have application in by June and old members to inform them.

13. Summer festival
a. VCM is having their annual summer festival on July 7th. Trying to get 30 volunteers. This year their will be Don Ho. It will be a free concert, outside, activities, selling food.

14. Future Summer Events
a. Wisconsin Dells
b. Camping
c. Write a proposal for Tuyen to push any fun events.
d. UVSA Midwest is thinking of having a camping trip Labor Day weekend either in Wisconsin or Chicago area.
e. Paintball event—Jesse to coordinate
f. Doing a Trung Thu show for this fall at the U of M.
i. Tet costs us nearly $7,000 and with grants we can get around that amount of money to host this event.
ii. Late September
iii. If we feel that time is constraint, we can do it mid-October because at this time, other groups won’t have many other shows to conflict with ours.
iv. We should try it smaller than our tet, if it works, then we can make it a bit bigger.
v. Incorporates lanterns, singing and dancing, music, moon cakes.
vi. We can incorporate other groups who celebrate this as well.
vii. YES we will do a Trung Thu Show.
viii. Performance Activities Coordinator to start up organizing this event.
ix. Helen, Tommy, and Jony. Bring up retreat and Helen to find a location by June.
x. Funding from ASU -- $500.00
1. we can use paint the lantern as a promotion tool.
2. We already have more than enough paints, so we will use some money to buy lanterns and paintbrushes. Lanterns will not be sold.
3. Talked to CASA about the event and cooperation with other student groups.

15. Do we want to officially join UVSA Midwest? -- YES
a. Wendy and Dan should do the applications.

16. Tet
a. Februrary 2nd
i. February 7th is officially Tet.
ii. If the day isn’t opened, we will go with the 16th.
iii. VCM is having theirs Saturday February 9th.
iv. Dan to be in charge of contacting, Mankato, Rochester, and St. Cloud to find out if they need help with their events.
b. We should have two committees to plan for Tet and Trung Thu.
c. Tet meeting should be 2nd half of board meetings.
d. Think about what you want to do or help during Tet then bring it up during the meetings or at retreat.
e. Think about Themes for Tet—bring creative by next meeting!

17. Miscellaneous topics
a. Facebook link to VSAM events on website—Good idea!
b. Historian-Unlike the past, Helen wants to make scrapbooks as she goes. She wants to make profiles of every board member, but everyone should make their own or else she would do it. Helen will provide a template first—Good idea!
c. New board members-Send email to VSA@umn.edu to create contact info.
d. Meetings-Think about ways to make meetings fun and interesting.
i. Have 3 or 4 big general meetings as an event. Such as one at the starting and end of each semester.
i. Con-members won’t know much that’s going on.
ii. Having consistent meetings. If we take time in advance to let members know as if it is an event, then it’ll make general members feel important. Set up calendar at the beginning for each meeting.
1. Members will feel more involved and will know what is going on.
2. We need to make the meetings more interesting in order to fit more members in.
3. We have to interact members each time without just having listing agendas at the meetings.
4. PSA have dedicated members to attend meetings every week. They are more interactive with lots of ideas. They try to set small events.
5. Members are also interested in just the social aspect of the group. If we can attract people by having a good time, have a short schedule, and do something really fun, this will attract more members.
a. If we do a movie night or event nights.
b. Have meetings at different fun places.
c. Call it a “VSAM get together”/ “socials”
6. If we go to ask for sponsorships, it can help us out this year as well.
7. VSAM needs to interact more to their members and involve all new members into our groups. This way, everyone’s more dedicated.
iii. If we do it once a month, it’s a good mix of not having too many meetings as well as having a concrete set schedule.
iv. Brain storm for your position and or VSAM events for next year and or this year.
e. Encourage new members to talk to old members about their positions.
